P+S Personnel are pleased to be working on behalf of our client, who is currently looking for an Assistant Service Manager on a full-time, permanent basis located in Great Yarmouth.
Job Summary:
As a key member of the team, the successful candidate will report to the Service Manager to
drive the growth and success of the business. We are seeking a skilled and proactive individual to be
responsible for ensuring that all service jobs are organised and setup with appropriate communication and
paperwork in the service department workshop plus offshore, parts enquiries/requisitions as required.
Main Responsibilities:
- Plan and coordinate workshop and field service activities.
- Schedule engineers, technicians and subcontractors to meet customer requirements.
- Monitor resource availability and maximise utilisation.
- Coordinate emergency breakdown call-outs and ensure service activities are completed within agreed timescales.
- Act as the primary point of contact for service customers, processing enquiries and providing regular updates.
- Build and maintain strong customer relationships through professional communication.
- Raise and manage service jobs within the ERP system.
- Prepare work packs, engineer documentation and process service reports.
- Maintain accurate service records, customer information and job documentation.
- Liaise daily with Service Engineers, Workshop Supervisors, Stores and the Sales Team.
- Arrange travel, accommodation and site access for engineers where required.
- Prepare quotations and invoices for routine service work.
- Monitor purchase orders, customer approvals and service costs against quotations.
- Support warranty administration and ensure completed work is invoiced promptly.
- Ensure service activities comply with company procedures and QHSE requirements.
- Verify engineer training and certification records before mobilisation.
- Assist in identifying opportunities to improve service planning, administration and customer service standards.
Person Specification:
- Previous experience in a Service Co-ordinator, Service Administrator or similar engineering support role.
- Minimum of 3 years' experience within a workshop, engineering or service environment.
- Strong organisational skills with the ability to prioritise multiple tasks.
- Excellent working knowledge of Microsoft Office applications.
- Experience using ERP or service management systems would be advantageous.
- Strong communication skills with a professional and customer-focused approach.
- Good problem-solving skills with the ability to think proactively.
- Understanding of Quality, Health, Safety and Environmental (QHSE) procedures.
- High level of accuracy and attention to detail.
- Ability to work both independently and as part of a team.
Working Hours:
- Monday to Friday.
- 37.5 hours per week.
- 08:00 – 16:30 with a 1-hour unpaid lunch break.
