P+S Personnel are pleased to be working on behalf of our clients, who are currently seeking a Subsea Administrator to join their team based in Great Yarmouth on a part time, 3-month contract.

The primary focus of this role is to support the Operations & Sales Manager with the administration required for effective and controlled management of the manufacturing operations at the Great Yarmouth facility. The scope of this position reflects a large breadth of responsibility to support a manufacturing site of less than 5-8 staff. Consequently, the role encompasses the following main areas;
• Procurement Administration duties
• Materials Control and Despatch administration
• Facilities and Health and Safety records file management

Roles and Responsibilities will include:
Purchasing and stock control
• Obtaining quotes, making recommendations and raising purchase orders, ensuring acknowledgements are received and delivery dates are in line with production, development and facilities maintenance needs. Highlighting any concerns or delays that arise.
• Forming good working relationships and liaising with suppliers, identifying shortfalls in our supplier base and making recommendations for new suppliers. Ensuring all necessary documentation is completed and liaising with Gosport Purchasing to comply with procedures.
• Ensuring full traceability of all production parts is maintained through the manufacturing cycle.
• Ensuring all documentation is maintained and filed/stored as required for 10 years.
• Work closely with Head Office Gosport Purchasing to ensure raising new suppliers are in accordance with company procedures and policies. There is a dotted line to the Supply Chain Manager in Gosport to help with development and contract negotiations.
• Monitoring and checking stock, ensuring that levels are accurate and investigating discrepancies.
• Liaising with suppliers and appropriate personnel to ensure any queries or issues relating to Quotations, Purchase Orders, Delivery notes or Invoices etc. are quickly resolved.
• Manage the receipt, inspection (where applicable) and correct storage of materials into stores both physically and on the MRP system.

Production Control
• Reviewing all new Sales Orders in a timely manner to ensure purchasing of materials and scheduling meets with Production and delivery requirements.
• Raising and issuing of all Production Route Cards and documentation packs, assisting with any new procedures or work instructions as required.
• Managing and controlling all customer supplied and drawings and documents to ensure the correct versions are used.
• Develop a Bill of materials (BOMs) and maintain to the required (latest) build standards.
• Conduct all Kitting of production jobs, highlighting any shortages and ensuring traceability of components throughout.
• Completion of all final shipment documentation; CofCs, Test Certificates, Export Documentation, despatch notes, and invoices where required.
• Ensuring completed products are put into stock for dispatch and all necessary MRP transactions are completed to update stock.
• Ensuring all documentation is maintained and filed/stored as required.

Despatch
• Checking quantities and raising Delivery Notes, ensuring copies are forwarded to Gosport for invoicing.

Facilities / Health & Safety
• Manage a logging system to ensure that all relevant (and newly acquired) equipment is registered and maintained within calibration so available for use when needed, identifying and making recommendations to change time periods when appropriate.
• Maintaining all records relating to H&S and site maintenance compliance.

General
• Providing input to the Operations & Sales and Business Development Managers for reports and KPIs.

Experience And Skills:
• Proven and demonstrable experience from working in a Manufacturing environment- essential.
• A proven background in general administration, Facilities and Health & Safety- essential.
• Experience with MRP business systems, competent with MS Excel, MS Word, and MS Outlook.
• Ability to multitask and lead by example with strong attention to details on paperwork.
• Demonstrates good written and verbal communication skills.
• Good organiser, able to resolve problems and manage conflicting priorities.

Working hours flexible but will include a normal finish time of 1pm on Fridays.
