P+S Personnel are pleased to be working on behalf of our clients, who are currently seeking an Operations Support Coordinator to join their team in Diss on a 12 month fixed term contract.

The prime responsibilities are to provide support to the Operations Team in the management of their functions. These are:
• Provision of ship to ship Operations and Consultancy Services
• Arranging and monitoring equipment maintenance, usage and replacement
• Marketing the business
• Assurance of operations and bases

To provide this support the Operations Support Coordinator duties must include, but not be limited to the following. A thorough knowledge of SAP process is required in order to meet these requirements:

Finance and Purchasing:
• Producing formal quotations
• Processing operational timesheets and documentation
• Raising sales invoices and credits
• Processing travel and personnel invoices and expenses
• Reconciling Travel Accounts
• Ensuring suppliers are prequalified
• Processing requisitions
• Obtaining approvals
• Sourcing suppliers
• Placing purchase orders
• Organising all logistics, ensuring compliance with all necessary import/export regulations/requirements
• Receiving goods onto the system
• Coding, matching and passing supplier invoices
• Developing and maintaining a supplier base and sourcing strategy suitable to deliver the current and future needs of the business

Assurance Support:
• Recording cargo throughput for all company owned hoses
• Maintaining POAC (Mooring Master) matrix, documentation and certification records
• Co-ordinating POAC training course attendance
• Organising Operational Team meetings, production and issuance of minutes, ensuring that actions arising are followed up and reported on by the appropriate personnel

• Formatting and proofing of documents required for presentations, proposals, reports and tenders in line with company formatting and branding
• Organise travel and accommodation for visitors and personnel as required
• Arrange visas for personnel as required
• Negotiating prices and payment terms

Provision of general administration support to all departments within the company – undertaking tasks as directed by the Head of Global Operations, including:
• General administrative duties i.e. typing, filing, maintenance of company databases
• Answering telephone and directing calls and messages to the appropriate persons/departments
• Collect, open and distribute incoming correspondence
• Logging of enquiries and marketing visits on respective databases
• Completing monthly close out procedures for all operational job files
• Completion and issuance of weekly / monthly reporting for various departments including weekly reports to Management and HSE stats
• Deal with any other day-to-day issues which may arise, or other duties as required by the Management Team
